In a compliant environment (cGLP/cGMP), the documentation of important metadata concerning the reagents and materials is critical for proper control of the preparation process and assurance of procedural completeness and accuracy. Key issues such as manufacturer, purchase date, quantity, expiration date, and minimum inventory needs are needed to effectively manage operations. Today, the traditional paper-based logbook process often requires time-consuming reviews and approvals by peers or supervisors. In a paper-based environment, consumable materials management is subject to resource training and compliance with standard operating procedures that are difficult to monitor with assured compliance. In addition, the preparation of samples, standards, and controls used by the CDS system are data captured and electronically transferred to the CDS sequence set.

The SmartLab Freedom Workstation automates the checking-in and out of critical chemicals, standards, working test method reagents, pipettes, and HPLC columns. It presents an electronic-based workflow that captures all relevant usage with full audit trails and management reporting. The workstation configuration provides a set of Web-based instructions to authorized analysts on a touch screen PC. It offers a fully electronic means of executing the work instructions and capturing and cataloging all of the data and metadata as HPLC samples and material is added to inventory and used in operations – in real time. The workstation integrates directly with your CDS, balance, and pH meter to provide real-time data capture during reagent preparation and sample prep – with all work instructions provided on screen. The SmartLab HPLC Prep Workstation is fully compliant with 21CFR Part 11 requirements for electronic records and conveniently logs all the data in a database (Oracle) as the operational prep procedure takes place.

The SmartLab HPLC Prep Workstation can stand alone as a benchtop departmental lab inventory management system or in concert with the SmartLab GMP Lab Execution System and Electronic Notebook for timely and accurate consumables documentation and full HPLC preparation processes. Since all data and metadata are captured in a database, documentation reports are easily prepared for supervisory review. The system includes a user-defined set of “widgets” to provide real-time graphical and tabular reports on inventory status. Supervisors have a quick real-time snapshot of all the materials in the lab and can plan accordingly.

Label and Bar Code Compatibility

All lab consumable information and samples are communicated via a bar code labeler and reader for proper tagging by the analysts during routine preparation and usage. This capability can link directly with VelQuest’s SmartLab GMP Lab Execution System/ELN and will insert the reagent preparation data into the metadata fields for procedure/method execution and documentation. This process assures accurate and automated documentation of the consumables “pedigree” during its entire lifecycle in the lab.
